The Bill Status Dashboard

Narrated walkthrough · recorded in the live Mindbill app

Step 1 — Open the dashboard and read the matrix

Open Reports → Bill Status Dashboard (/reports/bill-status). The grid lists one row per Billing-Provider × Rendering-Provider pair that has at least one bill, with a per-status count across the seven columns and a Total per row. A bottom Total row sums each column, and the header shows how many bills and provider pairs are in scope. Each bill counts in exactly one column, so the columns partition your whole population.

Step 2 — Scope it with the provider chips, then Run Report

Two chip rows — Billing Provider and Rendering Provider — let you narrow which providers are in scope. Toggle the chips for the providers you want (an empty selection means all), then click Run Report to commit the selection into the grid. Staging the chips before running lets you set up a multi-provider filter in one go; a hint reminds you to Run Report when the selection has changed, and Clear resets everything.

Step 3 — Drill into any count

Click any non-zero count to open 'Bill Status Dashboard – Bills' below the grid — the actual bills behind that provider-pair-and-status cell, newest activity first. Each row shows the bill number (linking to the bill), DOS, provider, charge, fee schedule, payment total, current submission type, patient, last status update, last billed date, and claims administrator. Click the cell again to close the drill-down.

Step 4 — Export the drill-down to CSV

With a cell drilled in, click Download CSV to export exactly those bills — the same columns you see, named for the provider and status you drilled into. So a request like 'all of Dr. Lee's rejected bills' is a click on the count and a click on Download.

Step 5 — Catch the silent middle: Bills – No Tasks

The companion report, Bills – No Tasks (/reports/bills-no-tasks), is the matrix for the dangerous gap: bills that are currently Sent but have no open Bill Task driving them — the ones quietly aging out of timely-filing and Second-Review windows because nobody's watching. Rows are submission type (Original, Second Review, Duplicate, Corrected, IBR); columns are DOS-aging buckets (1-30 / 31-60 / 61-90 / 91-180 / 181+). Click any count to drill into those unworked bills, oldest first, and export the whole matrix to CSV.

The Bill Status Dashboard is a provider × status matrix: a single grid that shows how your whole book of bills is distributed across the lifecycle. Rows are Billing Provider × Rendering Provider pairs; columns are the seven status buckets (Incomplete, Sent, Accepted, Rejected, Processed, Lien, Closed). Every count is clickable and drills into the underlying bills, exportable to CSV. It answers 'where is everything, by who's billing and who rendered?' in one screen. (It's role-gated to reports.view — Reporter, Manager, and Administrator.)
